Leads sit unprocessed overnight
An enquiry arrives at 11pm. Nothing happens until 9am — by which time some of them have already called a competitor.
02 n8n AI automation
n8n is a workflow automation platform that connects applications, APIs and AI models into automated processes. We design, build and maintain those workflows — so a lead arriving at 11pm gets analysed, qualified, filed and answered before you open your laptop.
The problem
Every tool you add creates another pair of systems that do not talk. The gap gets filled by a person, a spreadsheet, or nothing at all.
An enquiry arrives at 11pm. Nothing happens until 9am — by which time some of them have already called a competitor.
Because updating it is a manual step at the end of a task everyone is already behind on.
The same export, the same paste, the same formatting, every Monday morning, forever.
A few Zapier tasks somebody set up years ago, running things nobody can explain or modify.
How it works
Example workflow — lead capture to first reply
Runs in seconds, at any hour. Every execution logged, with retries and failure alerts.
Our approach
n8n's advantage is that the automation is a diagram, not buried code. Your team can see what runs, in what order, and where it failed — which matters far more six months later than it does on day one.
The diagram is the system. Anyone technical can open it and understand what happens.
A model handles the judgement in the middle — classify, summarise, draft — while deterministic steps handle the rest.
n8n can run on your own infrastructure, so sensitive data need not pass through a third-party automation vendor.
Retries, fallbacks and failure notifications, so a silent break does not go unnoticed for a week.
What's included
Individual workflows or a connected set. Self-hosted or n8n Cloud — we will explain the trade-offs for your situation.
Mapping the process into triggers, steps, branches and failure paths before anything is built.
Self-hosted deployment on your infrastructure, or configuration on n8n Cloud.
Connecting the applications that do not have an off-the-shelf node, through their REST APIs.
LLM calls inside a workflow for classification, extraction, summarisation and drafting.
Capture, enrich, score, route, notify and respond — automatically and immediately.
Keeping records synchronised across systems without a manual update step.
Scheduled extraction, transformation and loading between platforms and reports.
Drafting pipelines that generate, format and queue content for human review before publishing.
Retries, fallbacks and notifications so failures surface immediately.
Written documentation of every workflow so your team can maintain or extend it.
Use cases
Realistic examples. What fits your business depends on your data and process — that is what the first call establishes.
Form submission triggers enrichment, AI qualification against your criteria, CRM creation, a drafted personalised response and a notification to the right salesperson.
Quotes unanswered after a set period trigger a drafted follow-up for review, and a task for the account owner.
Incoming invoice PDFs are read, fields extracted, validated against purchase records, and routed for approval or flagged.
New reviews across platforms are collected, sentiment classified, negative ones escalated immediately with context.
Draft generated from a brief, formatted, checked against brand rules, and queued for a human to approve before it publishes.
Data pulled from several platforms, combined, summarised by a model, and delivered as a readable brief.

Tools we actually use. If your stack needs something not listed, ask — we will tell you honestly whether we can integrate with it.

Outcomes
Enquiries handled the moment they arrive, including nights and weekends.
No end-of-day update step to forget, so records stay accurate.
Reports assemble themselves on schedule instead of consuming a morning.
Self-hosting keeps sensitive records inside your own infrastructure.
Automation that is legible to your team rather than a black box.
Adjusting a workflow is editing a diagram, not commissioning a development project.
How it runs
Seven stages. Nothing touches live systems until it has been tested against real cases.
01
Watch the process as it actually happens and note every exception.
02
Workflow diagram, integration points and failure handling agreed before building.
03
Workflow constructed and tested against sample data in isolation.
04
Connected to live systems, read-only first where possible.
05
Run in parallel with the manual process and compare outputs.
06
Cut over with alerting configured and a documented rollback.
07
Monitor runs and failures, extend once it is stable.
Questions
If yours is not here, ask us directly — you will get a straight answer rather than a sales call.
n8n is a workflow automation platform. You build processes as a visual diagram of connected steps — a trigger, then actions across different applications and APIs, with branching and error handling. It can call AI models as steps within a workflow, which is what makes it useful for automation that needs judgement in the middle.
No. We are not an n8n partner, reseller or certified provider, and we do not claim any affiliation with them. n8n is software we build with because it fits this kind of work well.
Self-hosting keeps your data inside your own infrastructure and has no per-execution cost, but you carry the hosting and updates. Cloud removes that maintenance for a subscription. If you handle sensitive customer data, self-hosting is usually the better answer. We will set up either.
Zapier is simpler for basic two-app connections. n8n handles branching logic, loops, error handling and custom code far better, can be self-hosted, and does not price per task in the same way — which matters once volume grows. For simple automation Zapier is fine and we will say so.
We build in retries, fallback paths and failure notifications, so a break surfaces immediately rather than being discovered a week later. Every run is logged with the data that caused it.
Yes, and that is part of the point. Workflows are visual and we hand over written documentation. If you would rather we maintain them, that can be an ongoing arrangement — but you are not locked in.
